Service Providers
Documentation for all guest artist and service provider payments must be submitted a minimum of 30 days prior to the date(s) of engagement, so please plan accordingly.

‼️ IMPORTANT: Please Read Before Hiring or Paying a Guest
- Paperwork must be completed BEFORE they do any work. This applies to ALL Guest Artists and Service Providers, even if they are working for free or only being reimbursed for expenses. Do not allow them to begin working with faculty or students until the required documentation is in place.
- Faculty should NOT pay for a guest’s expenses. Do not personally purchase or pay for a guest’s airfare, hotel, transportation, meals, or other expenses.
- Contact the Business Office first. We will help determine how allowable expenses can be reimbursed directly to the guest, based on available funding.

Reimbursements to Guest Artists
Are they a guest artist or service provider?
Guest Artists - A company or individual who provides a presentation, performance, or speech in front of an audience for payment.
Service Providers - A company or individual who provides services to ASU for payment. Examples would include consultants, face painters, food providers, etc.
EXAMPLE -
A National Anthem Singer is hired to
- Perform before a sports activity (football, hockey etc.), then they are providing a service for the event, and people are not coming to the event to specifically see the singer. This is a service provider.
- Perform at an event where people are coming to see the performer (as an individual or part of a group), and the performance is the main event. This is a guest artist.
