Process Guide for Promotion and/or Tenure

Initial documentation (CV, Personal Statement and Publications/Creative Materials) must be submitted to your school APA contact, **Adrienne Goglia, by May 1 each year**. These documents are distributed to external reviewers by June 1, and must be thoroughly reviewed by the school APA contact, school director and Dean’s Office contact prior to distribution.

<aside> 📌 NOTE: Ensure your ASU Bio is up-to-date, reflecting current work. This helps individuals understand more about who you are and what your work entails when they are approached by the school director to serve as an external reviewer.

A Dropbox folder will be prepared for you to upload and organize documentation for submission. Consider the following:

• [ ] Upload your CV and Personal Statement in MS Word format so that we can make minor adjustments, if needed.
  • [ ] Save in the main section of the provided Dropbox folder.
  • [ ] For guidance on how to organize your CV, we recommend attending one of the applicable Herberger information sessions and/or seek out a colleague in your discipline to view their CV as a model.
  • [ ] CV must include the date the terminal degree was earned.
• [ ] DO NOT ADD PAGE NUMBERS TO ANY OF YOUR DOCUMENTS. Those will be added by the school APA contact to remain consistent throughout the package.
• [ ] Leave Confirmation page templates UNSIGNED and in an EDITABLE version when you upload. This allows the school APA contact to make any necessary adjustments as the sections are finalized before requesting your signature is added.
• [ ] Signatures (when requested) must be handwritten (wet or JPEG); no typed signatures.

Publications/Creative Materials

DEADLINE: May 1 each year.

Confirmation of Publications/Creative Materials

• Save creative materials in their respective Dropbox folders.

• If there is more than one document for each creative sample, please label files in the order they need to appear in the package EXAMPLE: “01_FileName”, “02_FileName”, …

  Keep file names short, but clear enough for the APA contact to understand the organization.

• Any audio or video should be the actual media file (mp3, mp4, mov) rather than a link to YouTube, Vimeo, Soundcloud or similar. The school APA contact will create direct hyperlinks to access the files via the creative sample pages noted below.

• Media files must appear as part of the corresponding creative sample section in the master PDF. For audio/video media files, that we need to provide at least one detail/index page for each sample (#1-4), to “house” associated media hyperlinks.

  • This detail/index page can include as much or as little information as the faculty member would like, including but not limited to: performance/recording details (dates, venues, performers, brief description), accompanying scores, photos or reviews, or anything else pertinent for the reviewers.
  • Provide these documents in MS Word format so that the school APA contact can add hyperlinks to the media files, then forward to the faculty member for final review.
  • Anything that would otherwise be printed (i.e. related articles or reviews) must be provided as a page within the dossier, rather than a link.

Evidence of Excellence in Teaching and Mentoring

DEADLINE: August 15 each year.

Confirmation of Teaching Evidence

• Must include at least three (3) different types of evidence of teaching excellence, one of which must be the candidate’s Summary of Student Evaluations.
• The Summary of Student Evaluations will be prepared on your behalf by the school APA contact and uploaded into the Dropbox folder for your review. If you see anything requiring immediate attention, please let Adrienne Goglia know ASAP.
• The Herberger Institute requires a Peer Evaluation is included for all Probationary and Tenure cases. The document/evidence is optional for all other Academic Personnel Actions. Access the Peer Observation template here.
• Save as separate documents and label accordingly (1, 2a, 2b,…).
• Just as with the Publications/Creative Materials, any media files must be “housed” in a detail/index page so that it can be included in the combined PDF for this document section.
• Other types of evidence may include, but are not limited to: recent, objective, and substantive peer or director evaluations of teaching, teaching or mentoring honors/awards, scholarship with a focus on pedagogy, evidence of student success through a sequence of courses, evidence of mentoring such as student theses and dissertations (especially to completion), papers co-authored with students and projects with student collaborators, evidence of student career success related to the candidate’s teaching or mentoring, examples of effective teaching innovation by the candidate, peer review of student portfolios; or other evidence determined to be appropriate by the chair/director in consultation with the candidate, or facilitation of workshops on learning outcome assessment or other pedagogical topics.
• Evidence should not include student comments on evaluations, course materials (syllabi, sample tests), or other subjective materials.
• Keep in mind that that the 50-page/10MB limit for supplemental materials is inclusive of materials described in the Evidence of Teaching Excellence section (The Summary of Student Evaluation of Instruction does not count toward the 50 page/10 MB size limit.)

Supporting Materials

DEADLINE: August 15 each year.

Confirmation of Optional Supporting Materials

• Though listed as “optional” the expectation is that faculty provide at least 1-2 items in this section.
• Supporting Materials CANNOT include additional creative samples.
• Save as separate documents and label accordingly (1, 2a, 2b,…).
• Supporting materials may include a total of 50 pages not to exceed 10MB of additional electronic material highlighting excellence in teaching, research, and/or service. The 50-page/10MB limit is inclusive of materials described in the Evidence of Teaching Excellence section (The Summary of Student Evaluation of Instruction does not count toward the 50 page/10 MB size limit.).
• Just as with the Publications/Creative Materials, any media files must be “housed” in a detail/index page so that it can be included in the combined PDF for this document section.
• Some examples of Supplemental Materials
  • Interviews, reviews, news articles, podcasts
  • Notifications of honors or awards
  • Conference or performance programs, event fliers
  • Letters of support
  • Proof of work as a guest artist (letters, posters, programs, photos)
