- Committee chair (or co-chairs) assigns letters to committee members. Ideally, 1st Readers should be from a different discipline than the faculty case, with the 2nd Reader being from the same discipline (this isn't always possible). Adjust the color-coding in the 1st- and 2nd-reader assignments as needed to match the assigned committee member.
- Adrienne will share a Dropbox folder with letter templates for each case. These files will include faculty name and workload distribution (double check against ARA). Avoid copying files within the shared Dropbox folder to avoid any confusion with file versions.
- When the 1st-reader letter is ready for the 2nd-reader, move it to the 2nd Reader Dropbox folder and email the 2nd reader to let them know it's ready.
- When 1st and 2nd readers have both finished a letter, move it to the Committee Dropbox folder.
- When the committee is satisfied with the letter, the committee chair should do a final review (for typos, formatting, and cleanup) and move it to the Completed Dropbox folder.
- Before moving letters to the Completed folder, delete any remaining comments and click "Accept All Changes and Stop Tracking" in the Review Panel.
- Refer to the Evaluation Matrix for recommended scores for each category.
- Use the Score Calculator to factor workload distribution percentages in overall score.
- First readers for committee member letters should send those completed letters to Adrienne directly once the other committee members have approved it.
