The Minors on Campus Policy and best practices promote the safety and welfare of minors who are entrusted to Arizona State University’s care. ASU personnel or volunteers working in activities or programs with minors must comply with the policy.
Departments are responsible for determining if an activity meets the Minors on Campus Policy requirements, accurately reporting the activity in the Minors on Campus activity registry, and ensuring all employees and volunteers are compliant before interacting with minors.

Compliance requirements
Before working with minors in activities and programs, all ASU personnel or volunteers must:
- Complete fingerprinting every three years. Fingerprinting must be completed using one of these two options:
- Fingerprint check.
- Complete every three years.
- Departments submit fingerprint requests to ASU’s Office of Human Resources.
- Departments are responsible for fingerprinting costs.
- Fingerprint clearance card.
- Available through the Arizona Department of Public Safety or ASU Police Department at 480-965-3456.
- Once obtained, employees present the card to ASU’s Office of Human Resources for verification.
- Valid for six years from the issue date but must be validated through OHR every three years.
- Complete annual training.
- Employees and student Workers: ASU Employees and student workers must take the training annually through Career EDGE. Completion dates will show in the Minors on Campus registry within 72 hours of completing the training.
- Non-ASU-affiliated registered volunteers: Individuals not affiliated with ASU through employment or enrollment do not have access to Career EDGE. The department’s HR Specialist or Business Manager must follow the security role request process before the individual can access the training. Once the appropriate security roles have been applied to the individuals’ ASU affiliate ID, they can then access the training in Career EDGE.
- Non-employed student volunteers: Students not employed by ASU who volunteer must complete the training within Canvas. Once the training is completed in Canvas, notify the minors on campus team to have your completion dates entered into the Minors on Campus registry.

With the exception of the mandatory reporting, the youth protection policy DOES NOT apply to:
- Programs, activities or events where all of the participants are minors who are admitted, enrolled, or employed by the University.
- University-sponsored programs, activities, or events where minors will be present and will be in the care, custody, or control of their parent, legal guardian, or a K-12 institution employee or other chaperone designated by a K-12 institution or third party organization for the entire activity.
- Medical care given to minors at Campus Health Services or Counseling Services.
If ASU will be in the care, custody, or control of minors during these recruiting events, then all ASU personnel and volunteers who will interact with or supervise minors must be fingerprinted, trained, and understand their reporting duties.
Recruiting events must also be registered in the youth protection registry (MOC Registry), and would only be exempt if they fall into the parameters listed above. If they do not, proceed with the standard minors on campus policy which includes registering the events in the MOC registry and ensuring ASU affiliates complete both the required fingerprinting & minors on campus training.
