All faculty searches will be posted for 30 days, with a 14-day grace period per federal regulations. The committee cannot discuss candidates or make any final decisions with regards to a prescreening shortlist until day 45.
Accessing Interfolio
- Navigate to the Interfolio website or click on the APARS Search Committee link in the Profile section of your My ASU.
- Type in “Arizona State University” and select “Sign In”.
- If you are not already signed into your My ASU account, you will be prompted to enter your ASURITE username and password.
- Click on “View Positions” to navigate to search materials.
Reviewing Candidate Materials
- Click on search title to view all applicants.
- To review a specific applicant’s materials, simply click on their name and navigate through the required documents.
- Live links – Use the following steps if you experience an applicant file that does not have live hyperlinks in the create works document.

Return to the Applicant Profile

Select “Download” next to the creative work(s) document.

The document should open in the viewing window, and from there you can right click (for Mac users: CTRL+click) to view the links in a new tab/window.
- Tags – Tags are used on faculty search pools for official purchases, so any notes you may want to make on candidates are best to do outside of Interfolio. Please refrain from adding your own tags to the candidate profiles.
- Applicant files that have been checked for completeness will be tagged as “ready for review”.
- Applicant files that are missing documentation or require further attention will be marked as incomplete and tagged as “additional docs required”. In these cases, I will work directly with the applicant to complete their file.
The committee should NOT be reviewing incomplete applications or those not marked with a “ready for review” tag.
- Applicant files that were received after the initial application deadline will be tagged as “after initial deadline”.
As noted above, once reviewed for completeness, they will also be marked as “ready for review” once ready, and can be evaluated based on whether the search committee chooses to review applications after the initial deadline.
- Issues/Errors – Notify the school APA contact if you discover an issue requiring attention.
Rating Candidate Materials
Below please find a suggested set of guidelines for rating documents submitted by candidates through the Interfolio system.
Suggested ratings of 1 - 3 - 5 for the required qualifications and the full range of numbers (1, 2, 3, 4, 5) for desired qualifications.
We recognize that all decisions are interpretive and that committees members may have varying opinions. These are guidelines as a means of getting the rating process started.
